What is OCR?

OCR, or optical character recognition, is technology that turns an image of text, such as a scanned page, a photo or an image-only PDF, into machine-readable text. Once a document has been through OCR, every word in it can be searched, copied and processed by other software.

What is the difference between OCR and IDP?

OCR converts an image into text, but it does not understand what the text means. Intelligent document processing, or IDP, combines OCR with AI to work out what kind of document it is, find the specific information that matters, such as a supplier name, invoice number or total, validate it and turn it into structured data that systems can act on.

Does OCR need a template for every invoice layout?

Traditional template-based capture does: someone has to define where each field sits for every supplier layout, and the template breaks when the layout changes. AI-based intelligent document processing is template-free. It understands the document from its content and structure, so it can read invoices from new suppliers without any setup.

How accurate is OCR?

On clean, printed documents scanned at a sensible resolution, modern OCR is highly accurate. Accuracy drops with poor scans, skewed or low-contrast pages, very small text, complex layouts and handwriting. Good systems also validate extracted data and route anything uncertain to a person to check.

Can AI read handwriting?

Increasingly, yes. Handwriting recognition, sometimes called ICR, has improved a great deal with AI, and neat handwriting in forms and boxes is often read well. Free-flowing or messy handwriting remains harder, so it is sensible to keep a human check in place for handwritten documents that feed important decisions.

Is it safe to use AI to read confidential documents?

It can be, if you choose the right platform. Check where documents are processed and stored, whether data is used to train third-party models, and what security certifications the provider holds. For the most sensitive content, some platforms, including DocFlow, offer a fully on-premises AI option so documents never leave your environment.
